Get your car ready for safe, on-time pickup with this step-by-step car shipping preparation checklist. It covers documents, inspection photos, fluids, battery, tire pressure, fuel level, alarm settings, and what to remove before pickup.
Must-have documents
Keep registration, valid ID, and insurance ready for the Bill of Lading (pickup and delivery condition report).
Share special instructions (non-op, low clearance, aftermarket kits) with your carrier/broker before dispatch.
Clean and document condition
Wash exterior and vacuum interior to make inspection easier and accurate.
Take date-stamped photos of all sides, roof, wheels, glass, interior, odometer, and a few undercarriage shots; store safely until delivery.
Remove personal items and accessories
Remove loose items, valuables, paperwork, electronics, and after-market add-ons like bike/ski racks and removable antennas to prevent loss or damage; these aren’t covered by carrier cargo insurance.
Take out toll tags or deactivate them to avoid accidental scans during transit.
Fluids, battery, tires, brakes
Top up engine oil, coolant/antifreeze, brake fluid, and washer fluid; fix any fluid leaks before pickup to avoid refusal or re-spotting fees.
Ensure a healthy battery and clean terminals; confirm the parking brake works for safe loading/unloading.
Fuel level
Keep fuel at about ¼ tank: enough to load and unload, while minimizing carrier weight and safety risk.
Alarms, trackers, and modes
Disable factory and aftermarket alarms; turn off motion-triggered dash cams and valet/transport modes that could limit steering or speed.
Provide a spare key set for the driver and keep one with you.
Exterior fitments and clearance
Fold mirrors, retract or remove antennas, and secure or remove low splitters/spoilers to prevent ramp contact.
For convertibles, fully secure the top and seals before handoff.
Special vehicle scenarios
Non-running car: disclose in advance; expect winch loading and a non-op fee; ensure the vehicle rolls, steers, and brakes if possible.
Modified or low-clearance vehicles: alert your carrier for a suitable trailer and loading angle.
Day-of-pickup best practices
Be available during the pickup window; carriers operate on windows, not exact times.
Walk the inspection with the driver, confirm all marks on the Bill of Lading, and compare with your photos at delivery before signing.
